These Terms and Conditions ("Terms") govern your access to and use of the Documiner service, available at documiner.ai ("Service"). By using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. General Provisions

The Service is operated by Alfaveo.cz s.r.o. ("we", "us", "our"), a company registered in the Czech Republic under Company ID 10701249, VAT number CZ10701249, with registered address at Rašínova 2, Brno, 602 00. All contractual relationships arising from use of the Service are governed by Czech law.

These Terms apply to all users, including individuals and legal entities, who register for or otherwise use the Service. By creating an API token or submitting a document for processing, you accept these Terms in full.

2. Service Description

Documiner is an automated document data extraction service. You submit business documents (such as invoices, quotes, purchase orders, delivery notes, and similar) via our REST API, and the Service returns structured JSON data extracted from those documents.

The Service uses artificial intelligence to extract data from unstructured documents such as PDF files and images. For natively structured formats such as ISDOC and ZUGFeRD, dedicated parsers are used to ensure maximum accuracy. The AI provider used may vary and is subject to change.

The Service is provided on an "as is" and "as available" basis. We do not guarantee that extracted data will be 100% accurate in all cases. You are responsible for validating outputs before use in production systems.

3. API Access

Access to the Service is provided via API tokens. You are responsible for keeping your API tokens confidential and for all activity that occurs under your tokens. If you believe a token has been compromised, you must revoke it immediately through the API management interface or by contacting us at info@alfaveo.com.

We reserve the right to suspend or terminate access for any user who violates these Terms, misuses the Service, or poses a risk to the integrity or availability of the Service.

4. Pricing & Payment

The Service is billed on a credit basis. Credits are purchased in advance; the standard package is €10 per 200 documents (€0.05 per document). There is no monthly fee or minimum commitment — you pay only for documents you actually process. Credits are consumed for each document submitted to the API that results in a processing attempt, regardless of whether the extraction is fully successful.

On-premises deployment (Docker container or standalone binary) is priced individually. Contact us at info@alfaveo.com for a quote.

Volume pricing may be available for customers processing large volumes of documents. To enquire, contact us at info@alfaveo.com.

Prices are quoted exclusive of VAT. Czech VAT (DPH) will be applied where required by applicable law.

We reserve the right to change pricing with 30 days' written notice. Continued use of the Service after the notice period constitutes acceptance of the new pricing.

5. Acceptable Use

You agree not to use the Service to:

  • Process documents you do not have the legal right to process;
  • Submit documents containing malware, malicious code, or content designed to compromise our systems;
  • Attempt to reverse-engineer, scrape, or systematically extract data from our infrastructure beyond normal API usage;
  • Violate any applicable law, regulation, or third-party rights;
  • Interfere with or disrupt the availability or performance of the Service.

We reserve the right to investigate suspected violations and to suspend or terminate access without prior notice where we determine a breach has occurred or is imminent.

6. Data Processing

No document storage: Documents submitted to the Service are processed in memory and are not written to persistent storage. No copy of your document is retained by us after processing is complete. This applies to both the cloud API and on-premises deployments using our software.

Usage metadata: We retain usage logs (timestamps, document type, token used, processing status) for billing and operational purposes. These logs do not contain document content.

EU processing: All processing for the cloud API takes place on servers located within the European Union. If you use on-premises deployment, processing occurs in your own infrastructure.

7. Limitation of Liability

To the maximum extent permitted by applicable law, our total liability to you for any claim arising out of or relating to the Service shall not exceed the total fees paid by you to us in the three months preceding the event giving rise to the claim.

We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business, even if advised of the possibility of such damages.

Nothing in these Terms limits liability for fraud, gross negligence, or wilful misconduct.

8. Changes to Terms

We may update these Terms from time to time. Where changes are material, we will notify you by email (to the address associated with your account) at least 14 days before the changes take effect. Your continued use of the Service after that date constitutes acceptance.

9. Governing Law

These Terms are governed by and construed in accordance with the laws of the Czech Republic. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the Czech Republic.

Privacy Policy

This Privacy Policy explains how Alfaveo.cz s.r.o. ("we", "us"), operator of Documiner, collects, uses, and protects personal data in connection with the documiner.ai service. We are committed to protecting your privacy and to complying with applicable data protection law, including the General Data Protection Regulation (GDPR).

1. Data Controller

The data controller for personal data processed through the Service is Alfaveo.cz s.r.o., Company ID 10701249, VAT CZ10701249, Rašínova 2, Brno, 602 00, Czech Republic. For any privacy-related enquiries, please contact us at info@alfaveo.com.

2. Data We Collect

We collect and process the following categories of data:

Account data

When you register for API access, we collect your email address, company name (if provided), and billing contact information. This data is necessary to provide the Service and to fulfil our billing obligations.

Usage data

We log API calls, including timestamps, document type classification (e.g. "invoice"), processing status, and the API token used. This data is used for billing, rate limiting, and service monitoring. We do not log or store document content.

What we do NOT collect

Document content is not stored. Documents you submit to the API are processed in memory and are discarded immediately after processing. We do not retain any copy of the original document, its text, images, or any personally identifiable information that may be present within a document.

Payment data

Payment processing is handled by our payment provider. We do not store full card numbers. Invoice and billing records are retained as required by Czech accounting law.

3. AI Processing

For unstructured documents (PDF files, images), Documiner uses AI to extract data. The specific AI provider may vary and is subject to change. Where a third-party AI service is used, document content is transmitted to that provider's infrastructure for processing under their respective data processing terms. We use EU-region endpoints where available.

If you use on-premises deployment with your own AI API key, data is transmitted from your infrastructure directly to the AI provider under your own account and terms.

For natively structured formats (ISDOC, ZUGFeRD), processing is performed entirely within our own infrastructure using dedicated parsers. No document content is sent to any third-party AI service for these formats.

4. Data Storage & Retention

All servers used for the cloud API are located within the European Union. Data is not transferred outside the EEA except for the AI processing described in Section 3.

5. Your GDPR Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access — you may request a copy of the personal data we hold about you;
  • Right to rectification — you may ask us to correct inaccurate data;
  • Right to erasure — you may ask us to delete your data, subject to our legal obligations;
  • Right to data portability — you may request your data in a machine-readable format;
  • Right to object — you may object to processing based on legitimate interests;
  • Right to restrict processing — you may ask us to pause processing in certain circumstances.

To exercise any of these rights, contact us at info@alfaveo.com. We will respond within 30 days. If you are unsatisfied with our response, you have the right to lodge a complaint with the Czech Data Protection Authority (ÚOOÚ) at uoou.gov.cz.

6. Cookies

The documiner.ai website uses only strictly necessary cookies required for the website to function (e.g. session management). We do not use tracking, analytics, or advertising cookies. No consent is required for strictly necessary cookies under Czech and EU law.

7. Changes to This Policy

We may update this Privacy Policy from time to time. Where changes are material, we will notify registered users by email. The current version is always available at documiner.ai/terms#privacy.
